The role
As a Regional Executive Secretary at Pactum, you are the linchpin behind the regional management. You provide overview, think ahead, and ensure that appointments, information, and actions come together at the right moment. In this way, you help the regional management focus on what ultimately matters: good care for young people and adults. Do you want to use your organizational talent for a meaningful organization?
What you'll do
Complex agenda and mailbox management: You ensure efficient planning and a structured mailbox, so that the regional management can concentrate on core activities.
Organizing and coordinating: You arrange meetings and gatherings from start to finish, including the necessary facilities and materials. You prepare the agenda for the regional MT and the BVO and keep track of decisions and action points.
Ad-hoc organizing and prioritizing: You switch gears quickly when the situation demands it and adjust agendas as necessary, even if appointments have already been changed multiple times. In doing so, you remain flexible, careful, and service-oriented.
Contacts and connections: You maintain contact with internal and external parties and know how to quickly establish the right connections. You ensure that appointments are met and followed up on.
Monitoring progress and decision-making: You monitor deadlines and action points, ensure adequate follow-up of agreements made, and contribute to the careful preparation and handling of consultations and decision-making processes.
Identifying and prioritizing: You recognize bottlenecks in a timely manner, set priorities, and make independent choices within your responsibilities.
Administrative support: You manage documents and ensure that all information is current and accessible.
Colleague cooperation. During holidays or days off, you will, in consultation, take over tasks and support from your fellow regional executive secretaries in the other regions.
Your role, your challenge
At Pactum, you get the chance to be meaningful in the daily support of our regional management. You provide calm, structure, and overview in an environment where many things happen at once. Pactum is part of the VIGO Group and works closely with healthcare organizations such as Centiv, GGZ Momentum, and Vincent van Gogh for mental healthcare. Together, we are committed to care that is person-centered and accessible.
What are you going to do?
In this role, you support the Regional Director of Operations and the Regional Director of Care in organizational and administrative areas. You are essentially the right hand of the regional management: you think along, maintain oversight, and ensure that matters are picked up at the right time. Through your experience, you know exactly where you are needed. You bring structure to the agenda, manage the mailbox, and organize meetings and gatherings. You maintain the overview, coordinate appointments, and ensure that the regional management is well-prepared for everything that is happening.
Requirements
You are proactive, accurate, and have an eye for detail. You think along with the regional management and the organization, dare to make proposals, and bring structure to a dynamic environment. Even when priorities change unexpectedly, you remain flexible, positive, and solution-oriented. With your organizational talent, you are an indispensable link for the regional management.
A completed relevant MBO education and demonstrable experience (preferably several years) in a similar role.
Affinity with healthcare and a sincere interest in developments within (youth) care.
Excellent digital skills, including good command of Microsoft 365 (Outlook, Teams, Word, Excel, and PowerPoint). You quickly master new systems and ways of working and are open to change.
You are available 32 hours per week and are, in consultation with your management, physically present in Deventer.
Has your interest been piqued?
We would love to receive your response up to and including November 4th. Interviews are scheduled in weeks 46 and 47.
