Salary indication: € 3,700 - € 5,900

The role

Bring structure to our tenders and make a difference behind the scenes

A successful tender begins not only with a good substantive plan, but also with a tightly organized process. Documents must be complete, deadlines must be monitored, and all stakeholders must provide the right information at the right time. As a Tender Coordinator at Aveco de Bondt, you will ensure that everything comes together.

You are the connecting link between tender managers, substantive specialists, and other involved colleagues. With your organizational skills, accuracy, and proactive attitude, you ensure that our tender processes run smoothly and that tenders are submitted on time and in full.

In this versatile role, you will be given the space to work independently, take responsibility, and help build upon the further professionalization of our tender organization.

What you'll do

As a Tender Coordinator, you are responsible for the organizational and administrative coordination of our tender processes. From the start of a tender through to the final submission and handover, you maintain an overview of the process, the planning, and the required documents.

You work closely with tender managers and colleagues from various disciplines. While they focus on the substantive development, you ensure that the process is well organized and that all agreements are met.

Your duties include

  • Coordinating and monitoring the planning, deadlines, and important process milestones within tenders;

  • Collecting, structuring, and managing tender documents and associated information;

  • Drafting and monitoring compliance checklists, so that tenders meet the stated requirements;

  • Preparing and checking formal tender documents, including the Single Procurement Document (SPD) and required declarations;

  • Organizing internal reviews and coordination between involved colleagues;

  • Coordinating references and checking whether these align with the client's requirements;

  • Identifying ambiguities in tender documents and supporting the preparation of questions for the Clarification Note;

  • Coordinating with colleagues, partners, and subcontractors to ensure required information is available in a timely manner;

  • Preparing and guiding the administrative submission of tenders;

  • Supporting the evaluation of tender processes and the handover to the project organization.

In addition, you will actively contribute ideas for improving our work processes. Within Aveco de Bondt, we want to further develop tender coordination, for example, in the area of contract administration and the management of framework agreements.

We also investigate how digital developments and AI can contribute to a smarter and more efficient tender process. Your ideas and initiative are more than welcome in this regard.

Who are you?

You are an organizationally strong professional who gains energy from providing structure and monitoring processes. You work accurately, maintain an overview, and know how to involve colleagues in planning and agreements in a pleasant manner.

You do not need to have all the substantive knowledge of our projects. It is precisely your ability to organize, think ahead, and get things done that makes you valuable within the tender process.

Do you not yet have experience as a Tender Coordinator, but for example work as a project supporter, project secretary, administrative coordinator, or management assistant and recognize yourself in these tasks? Then we would love to get in touch with you.

Additionally, you recognize yourself in our core values:

  • Social: Together you achieve more. You are involved, know how to connect people, and are open to other perspectives. You find it important to work in an environment where collaboration, fun, and respect are central;

  • Pragmatic: You love to get stuck in and look for solutions that actually work. No endless theoretical stories, but concrete results that benefit the client and the environment;

  • Entrepreneurial: You have courage and see opportunities where others might see obstacles. You think ahead, dare to propose new ideas, and take the initiative to shape the future.

What do we offer you?

  • A salary between €3,700 and €5,900

  • A versatile role with a lot of responsibility and independence;

  • The possibility to work hybrid with freedom in time and place;

  • Full reimbursement of commuting expenses;

  • Facilities for an ergonomic home working environment;

  • Room for personal development, training, and professional specialization;

  • A professional and informal working environment in which collaboration is central;

  • The possibility to actively contribute to the further development of our tender processes;

  • Working within an organization involved in challenging and socially relevant projects.
