The role

At Zwart, we build energy solutions that must not fail. That requires good technology, but also an organization where everything around it is correct: workplaces, company cars, buildings, and suppliers. As a Facilities Coordinator, you ensure that. You don't just sit behind your laptop: you walk the work floor, tackle a problem yourself, and arrange for it to be solved.

Zwart is growing fast. That means more colleagues to accommodate, new locations to set up, a larger fleet to manage, and supplier agreements that need to be reviewed. You help build a facilities organization that can handle that.

Are you a doer who stands firm in your shoes, knows how to manage suppliers, and sets clear boundaries with a welcoming attitude? Then we are looking for you.

A day as a Facilities Coordinator

No two days are the same, but a day at Zwart might look like this:

  • Start with coffee. You walk through the day with the Facilities Manager and the ICT manager: outstanding facilities reports, technicians visiting, and scheduled maintenance. You make agreements about where you can help each other today or where you need help yourself.

  • Onto the work floor. You set up workplaces, move items, and supervise an inspection. Is there a malfunction? Then you walk over there and solve it, or you arrange for it to be solved quickly.

  • Keeping suppliers on track. You join operational and tactical meetings. If agreements are not being met, you address the supplier about it, even if that is momentarily difficult.

  • Helping colleagues. Colleagues know they can come to you and for what.

  • A moment behind your laptop. You process invoices and purchase orders, order a car, alert colleagues to MOT and maintenance inspections, answer requests and reports from colleagues, and ensure that requests and reports are up-to-date.

You work closely with the Facilities Manager and are part of the Finance and IT team. Together, you ensure that everything behind the scenes runs smoothly. Your most important duties:

  • You coordinate external service providers, monitor agreements, and think along about quality, costs, and improvements.

  • You arrange everything regarding our fleet, from maintenance and insurance to damage handling and making vehicles available.

  • Together with HR and other departments, you ensure that new colleagues have the right workplace, ICT resources, and access from their first day of work.

  • You coordinate maintenance and inspections and you solve malfunctions or arrange for them to be solved.

  • You monitor stocks, availability, and safety inspections.

  • You think along about the facilities layout of new buildings, from workplaces to maintenance contracts.

  • You think along about and implement facilities processes and systems.

  • You process invoices and purchase orders and keep our facilities systems up-to-date.

You work in a structured manner, but practice sometimes differs from what was planned. Precisely then, you remain calm, set priorities, and get it done.

Requirements

You are a doer and an organizer. You take responsibility, honor agreements, and dare to take charge, always with a welcoming attitude. Furthermore, you bring:

  • Completed MBO/HBO level of work and thinking, e.g., expertise in the field of facility management, hospitality, or logistics.

  • Approx. 5 years of experience in a facilities or similar position.

  • You tackle things yourself and do not mind moving, repairing, or solving something.

  • You stand firm in your shoes: you manage suppliers and monitor your boundaries regarding requests from colleagues, in a friendly and clear manner.

  • You dare to address suppliers and colleagues if agreements are not being met.

  • You have experience with growth or change, can bring colleagues along in process changes, and enjoy thinking about renewing processes and systems.

  • You have a good command of Dutch and English and are proficient with Microsoft Office and facilities management systems.

You don't need to know everything already: with initiative and eagerness to learn, you will go a long way at Zwart. It is good to know, however: not all processes are yet established and things change quickly. That requires flexibility.
