The role
What you'll do
You are responsible for a complete, timely, and correct flow of the purchasing and sales process. You check customer orders, monitor progress, and ensure that information in our systems and those of our clients is reliable and up to date.
You work closely with, among others, the Order Desk, Sales Engineering, Account Managers, and other internal stakeholders. When deviations threaten to arise or occur, you investigate what is happening and, together with those involved, ensure a suitable solution. With your commercial drive, you know how to adequately address commercial issues.
In addition to daily order administration, you look ahead. You analyze recurring bottlenecks, propose improvements, and help realize these within the team. You also prepare reports and periodic analyses with which you provide insight into the purchasing and sales process. You ensure that frequent coordination takes place via telephone or Teams with the relevant departments of our client, such as Purchasing, Engineering, Sales, and Administration.
Your main responsibilities
- Complete, timely, and correct recording of purchase and sales orders.
- Performing operational activities within the purchasing and sales process.
- Maintaining accurate and up-to-date customer data.
- Communicating with customers regarding order details, delivery times, and questions.
- Administrative processing and monitoring of RMA requests.
- Monitoring the correct and timely availability of materials.
- Identifying, analyzing, and solving delivery problems in collaboration with Purchasing, Product Management, and other internal and external stakeholders.
- Identifying bottlenecks and shortcomings in existing procedures and processes.
- Making concrete improvement proposals and contributing to their realization.
- Providing reports and periodic analyses regarding purchasing and order-related processes.
- Guiding new team members and acting as the first point of contact during their onboarding period.
- Where necessary, coordinating with the manager and other stakeholders regarding progress, quality, planning, and deviations.
You get energy from an order process that is administratively correct and runs smoothly. You maintain an overview, set priorities, and switch easily between customers, suppliers, colleagues, and various systems.
You find it interesting to figure out where in the process the improvement can be found. In doing so, you look beyond the immediate solution. You investigate the cause, make connections transparent, and help prevent repetition.
You enjoy working independently, but also actively seek collaboration when a problem affects multiple departments. You also enjoy sharing your knowledge and helping new colleagues find their way within the team.
- You possess at least an MBO-4 level of working and thinking ability.
- You have extensive relevant experience within order administration, sales support, purchasing administration, or a similar environment.
- You are a true relationship builder and possess some commercial aptitude.
- You have an affinity with technology and technical products or services.
- You work accurately, structured, and result-oriented.
- You can independently analyze and solve practical issues, even when the method of working is not fully established.
- You understand the purpose of procedures and can assess when additional coordination or a different approach is needed.
- You are able to recognize recurring problems and translate them into concrete process improvements.
- You can explain and present information and ideas clearly and in a structured manner.
- You have commercial and communicative skills and are customer-oriented.
- You can coordinate tasks, agreements, and schedules while maintaining oversight of progress and quality.
- You have experience with CRM and ERP systems. Experience with Business Central 365 is a plus.
- You feel responsible for the result and take initiative when action is needed.
- You recognize yourself in our core values: entrepreneurship, solidarity, responsibility, and trust.
