The role
What will you do?
As an administrative assistant for the Orthopedics research office, you are responsible for all logistical matters for patients participating in research. You schedule outpatient appointments, prepare consultation hours, ensure the correct handling of these appointments, and take care of registration in a financial management system. You are the first point of contact for patients participating in a study. Additionally, constructive cooperation with supporting departments such as the operating department, orthopedic outpatient clinic, radiology, and the orthopedic secretariat is essential.
We also maintain a register for a number of treatments containing patient data and questionnaires regarding the effects of treatments. For this purpose, patients must be contacted regularly to complete questionnaires, and the results must be maintained in a database. In this regard, the administrative assistant is an important link to optimally maintain the quality and density of the data.
The research office works together with the Orthopedics laboratory, where much work is performed with surgical residual material. We are the link between the laboratory and the clinic and safeguard patient privacy through the secure processing of this material. The administrative assistant also plays an important role in this.
As an administrative assistant for the Research Office, you have a partly independent role within the Orthopedics research office team. However, flexibility, mutual coordination, and cooperation are also important requirements.
Tasks and responsibilities
Arrange all logistical matters for study patients (scheduling, preparing, and processing orthopedic study visits, imaging, etc.).
Scheduling clinical visits for study patients.
Assisting patients participating in a study within Orthopedics.
Entering data into a data management system such as CASTOR, PANAMA, SPSS.
Taking minutes during meetings.
Coding and storing data of study patients.
What does your work environment look like?
Clinical scientific research within the Orthopedics department is supported by the Orthopedics research office (English name: Center for Translational Mobility Research (CTMR)). It supports research within all Top Reference Functions (TRFs) of the department, including research into new medical devices, such as meniscus implants, and new treatments such as knee injections and cartilage transplants.
The research office guides various clinical studies, from simple phase 4 studies (= research into devices available within standard care) to phase 1 studies, i.e., first-in-man studies (= research with medical devices being used in a patient for the first time). Furthermore, it plays a central role in patient recruitment, patient follow-up, and the registration that is necessary within patient-related research according to laws and regulations.
What do we ask of you?
You have a completed MBO/HBO education and an affinity with administrative processes;
You are proactive, accurate, and independent;
You like to go the extra mile to relieve someone of their worries;
You are a team player;

Preferably knowledge of medical terminology or willingness to undergo further training;
