The role

This is what you will do

As a management assistant within Chain Capacity Management (KCM), you support the business manager and the department manager. You provide structure, overview, and continuity, ensuring that behind-the-scenes operations run smoothly. This allows the managers to focus on the content and the development of the department.

You manage calendars, schedule appointments, and organize meetings. In doing so, you set the right priorities and know how to easily approach internal and external stakeholders. You prepare meetings carefully, take minutes, and monitor the follow-up of agreements and action points. You maintain control and alert the managers to matters requiring attention.

Using Teams, Outlook, and potentially other innovative applications to perform your work is second nature to you.

Additionally, you handle various secretarial and organizational tasks, such as placing orders and organizing meetings. You switch easily between tasks and contact persons and maintain an overview even in a dynamic environment. You demonstrate flexibility and stress resistance when faced with many different activities in a day and ad hoc changes to your daily schedule.

You think along about how tasks can be organized more smartly and efficiently, and you anticipate what is needed before it is asked for. With your proactive attitude, sense of proportion and organizational talent, you provide professional support that the managers and the department can rely on.

This is where you will work

You will be working within the Chain Capacity Management (KCM) department. KCM includes MST Flex, OR and admission planning, the Transfer Point, the evening, night, and weekend heads (ANW heads), and Integrated Capacity Management (ICM).

KCM focuses on optimally organizing and utilizing the available healthcare capacity within MST. By integrally planning and coordinating the deployment of, among other things, personnel, OR capacity, and hospital beds, the department contributes to an efficient use of this capacity. This takes place at strategic, tactical, and operational levels.

As a management assistant, you support both KCM managers and work in the heart of a department where planning, organizing, and collaborating are central.

You will be working in a (small) open-plan office where collaboration occurs with the necessary dynamism (and sometimes hecticness).

What you bring

  • You have completed training as an executive secretary or management assistant at mbo+ or hbo level;

  • you have extensive experience in a similar supporting role, preferably within a healthcare organization;

  • you work independently and proactively and get energy from organizing and arranging;

  • you set the right priorities and maintain an overview, even when many things are happening at once;

  • you work accurately and in a structured manner and have an eye for detail;

  • you communicate clearly and switch easily between different colleagues and interlocutors;

  • you are highly proficient with Microsoft Office, including Outlook, Teams, Word, Excel, and PowerPoint;

  • you are tactful, customer-oriented, and reliable, and you handle confidential information with care;

  • knowledge of the internal processes and working methods of MST is a plus;

  • you are flexible and respond smoothly to changing plans and priorities. With your sense of humor, you also bring lightness to the collaboration during busy moments;

  • you like to think along, see what is needed, and find it natural to relieve others of their burdens.
