The role
Guests welcome. Team sharp. You keep the overview.
You walk into the lobby and greet your team behind the reception. You start with a cup of coffee, discuss what is happening that day, set priorities, and ensure that your colleagues' outstanding questions are answered. You maintain the overview, adjust where necessary, and are there for your employees with coaching, support, and a listening ear. Does it get busy or is there a challenge? Then you naturally jump in to help. This is how you ensure the team can work well and the Front Office runs smoothly.
This is what your day could look like:
08:00 AM - Starting the day right
Your day begins with a cup of coffee and a handover with your colleagues from the reception. Together you go through the day, after which you review the hotel occupancy, room rates, and special details. You also take a look at the rest of the week: does the schedule align well with the expected occupancy and busyness? This way you know what is happening, you can adjust in time, set the right priorities, and start the day well prepared.
What you'll do
10:00 AM - What is happening in the hotel?
During the weekly meeting with the Management Team, you discuss what is happening within the hotel. You represent the Front Office, share relevant developments, and think along about cross-departmental matters. You translate action and improvement points from the MT into concrete actions within the Front Office and you monitor their progress.
11:00 AM - Attention for your team and the guest
As a supervisor, you are the first point of contact for your colleagues. Questions about a reservation, a difficult situation with a guest, or just brainstorming about the best approach? You think along, provide direction, and ensure your team can move forward. At the same time, you keep a close eye on guest reviews. What stands out today, what can we respond to immediately, and what needs extra attention? This way, you don't just manage your team, but you work every day on an even better guest experience.
12:30 PM - Lunch!
Having lunch together for a bit, catching up with colleagues from other departments, and then back to it.
1:00 PM - Everything ready for arrival?
A corporate group is on its way, so it's time for a new check. You coordinate the final details with Sales and F&B and check if everything is ready. You also check the hotel occupancy again: have many rooms been booked and what does that mean for your team? You keep an eye on what is happening in and around the hotel, adjust where necessary, and ensure everyone is well prepared for the rush.
3:00 PM - Adjusting where necessary
The afternoon is in full swing. You keep an eye on your team and adjust where necessary, while in between you update your email and answer a question from your administrative colleague. Of course, you also make time for a chat with a regular guest. Does it get busy at the reception? Then you jump in where needed.
4:00 PM - Wrap-up
You update your last emails, check the room rates, and look ahead. Are there any special details your team needs to know? You ensure a good handover and then close your workday.
This is primarily what you will be doing
- Leading the Front Office team, whereby you coach, motivate, and adjust, and jump in yourself where necessary;
- Ensuring a strong guest experience and actively managing guest satisfaction and reviews;
- Overseeing the daily operation and ensuring that quality and service remain at a high level;
- Creating schedules and coordinating staff occupancy with the expected hotel occupancy and busyness;
- Interacting frequently with Sales, Marketing, and the Operations Manager and working together on commercial opportunities, promotions, and hotel-wide developments;
