  • A good understanding of outbound logistics, shipment documentation and vehicle coordination.
  • Strong organisation skills, with the ability to keep accurate operational and compliance records.
  • Able to communicate clearly in English, spoken and written, with drivers, warehouse teams and transport partners.

Nice to have

  • Experience with transport management systems (TMS), warehouse management systems (WMS) or fleet management tools.
  • Knowledge of Dutch transport, vehicle safety and driver compliance rules.
  • Experience with route planning, delivery optimisation and transport cost monitoring.
  • Lean, 5S or continuous improvement experience.

Education & certifications

  • 2-3 years of experience in logistics, warehouse operations or outbound transport coordination.

The role

This role makes sure every outbound shipment and internal transfer leaves our Netherlands warehouse safely, accurately and on time.

You'll lead our company drivers and keep our vehicles safe, legal and ready to use. You'll plan collections and deliveries between our warehouses, partners and other destinations, and make sure every load is correctly prepared and documented.

Reliable transport keeps items moving through our operation. When collections and deliveries run on time, customers and partners get a smooth and trusted experience, and more pre-loved items find a new home.

What you'll do

  • Plan and prioritise daily outbound transport so collections, deliveries and internal transfers leave on schedule.
  • Coordinate with Outbound, Packing, Storage and other teams so goods are prepared, consolidated and ready before vehicles arrive.
  • Check that every load is correctly matched, secured and documented before it leaves, so items reach the right destination intact.
  • Make sure delivery notes, transfer documents and proof of delivery are complete and recorded, so every shipment can be traced.
  • Investigate failed deliveries, missed collections and discrepancies, and agree a fix with the teams involved on the same working day.
  • Work with external transport providers so shared collections and deliveries run to plan.
  • Lead, coach and support company drivers and the dispatch team, so everyone knows their priorities and works safely.
  • Allocate routes, vehicles and tasks each day to match dispatch priorities and available resources.
  • Run daily briefings on routes, schedule changes and safety requirements, so the team starts each shift with clear plans.
  • Reorganise routes and resources when a driver is absent or a vehicle breaks down, and tell the affected teams on the same working day.
  • Give feedback in monthly one-to-ones on attendance, punctuality and performance, and escalate repeated issues to the Head of Warehouse & Transport.

What success looks like

We'll measure success through

  • On-time dispatch, collection and delivery performance against the agreed schedule.
  • The number of failed deliveries, missed collections and transport discrepancies.
  • Accurate and complete transport documentation, including proof of delivery.
  • Vehicle availability, utilisation and downtime caused by maintenance.
  • Up-to-date vehicle insurance, inspection and maintenance records, with no lapses.
  • Health and safety compliance, including vehicle checks, incidents and near misses.
  • Driver productivity and route completion.
  • Transport cost per trip or delivery, and reductions in unnecessary journeys.

Vehicles, safety and compliance

  • Own the overview of every company vehicle's availability, insurance, inspections, maintenance and defects, so no vehicle runs without valid cover or checks.
  • Coordinate servicing and repairs with internal teams and external suppliers, so vehicles stay safe and downtime stays low.
  • Make sure drivers complete vehicle checks before each use and report defects, and stop any vehicle with a safety-critical defect from being used until it's cleared.
  • Make sure drivers follow road safety rules, Dutch driving and working-time rules, and our health and safety procedures.
  • Promote safe loading, unloading, vehicle movements and pedestrian management in the yard and warehouse.
  • Report accidents, vehicle damage, near misses and expired documents to the Head of Warehouse & Transport on the same working day, and follow up on corrective actions.
  • Keep driver, vehicle and compliance records accurate and ready for internal review or audit.

Performance and continuous improvement

  • Track transport performance against agreed KPIs and report it to the Head of Warehouse & Transport weekly
  • Analyse recurring delays, empty runs and vehicle downtime to find their root causes.
  • Improve route planning, delivery schedules and vehicle utilisation to reduce unnecessary journeys and transport costs.
  • Improve the link between warehouse dispatch and transport availability, so goods and vehicles are ready at the same time.
  • Lead and support Lean, 5S and continuous improvement work, including better transport procedures and reporting.

Living Our Values

In this role, living our values means: We ensure that transport documentation, driver records, and vehicle insurance and maintenance information are accurate and up to date. We report discrepancies or safety concerns transparently and take the appropriate action. We work closely with Outbound, Packing, warehouse teams, company drivers, and external transport providers to coordinate dispatch priorities and ensure collections and deliveries are completed on time. We analyse recurring delivery delays, unnecessary journeys, and vehicle downtime to identify root causes and find better ways to optimise routes, vehicle utilisation, and transport costs. When a vehicle breaks down or a driver is absent, we proactively reorganise routes and allocate available resources, communicate changes to the relevant teams, and follow up to minimise disruption to operations.
