Are you the organizer who gets energy from a smoothly running office and from taking the weight off a management team? Do you derive satisfaction from thinking ahead, and do you like to ensure that colleagues and visitors feel welcome? Do you feel at home in the dynamics of a scale-up where no two days are the same? Then we are looking for you!
Ecochain helps companies worldwide to make the environmental impact of their products and value chains transparent. With our LCA software platforms and Activity Based Footprinting method, we make sustainability measurable, transparent, and scalable. Empowering sustainable change - that is what we have been doing every day since 2011.
Our customers range from multinationals to innovative SMEs that want to be at the forefront of sustainability. Due to regulations such as the CSRD, DPP, and ESPR, the demand for our solutions is growing rapidly. To ensure this growth proceeds healthily, we are professionalizing our organization - and that is where you come in.
Ecochain is ready for the next growth phase. Our products prove themselves daily at companies in various sectors, and our team is growing along with it. This requires an office and an organization that run smoothly, now and in the future.
That is why we are looking for an Office Manager who, in 24 hours p/w, ensures that everything runs like clockwork: from a well-organized calendar to a welcoming office. You will be part of our support team, together with the HR Officer and Finance, and you will be the reliable force that colleagues and management can build upon.
The role: what will you do?
As Office Manager, you are the hub of our office. You will work closely with the HR Officer and Finance. You ensure that the office runs smoothly, that management is well-supported, and that colleagues and visitors feel welcome.
You are hospitable and enjoy taking care of others. You are organizationally strong and get energy from structure and accuracy. At the same time, you remain flexible when the day goes differently than planned, and you switch easily between a colleague's question, a management calendar request, and a visitor in the office.
You are responsible for the office lunch: you order the groceries and regularly make soup or salad
You manage office supplies and inventory, including ordering and replenishing
You oversee the maintenance of the building and equipment and coordinate repairs and service with the landlord and suppliers
You ensure that the office and meeting rooms are clean, tidy, and organized, in coordination with the cleaning and maintenance staff
You manage office security, including the access system and visitor registration
You handle laptop management: you issue equipment to new colleagues, collect it from departing colleagues, and maintain an overview
You prepare meeting rooms (screens, laptops, connections), so that every meeting can start smoothly
You receive visitors and ensure they feel welcome from the very first moment
You handle incoming emails, phone calls, and questions and refer them to the right person
You coordinate company events, team outings, and celebrations, including logistics and catering
You take minutes during (management) meetings and distribute action points
You occasionally schedule appointments for the management team
Where necessary, you arrange travel and accommodation
Demonstrable experience as an office manager, management assistant, or in a similar role
A natural sense of hospitality: you enjoy taking care of others
Excellent organizational skills and good time management; you maintain an overview and easily set priorities
Eye for detail and accuracy
Excellent communication skills in Dutch and English, and you switch easily with people at every level in the organization
Experience with calendar management and office tools such as [Google Workspace / Microsoft 365]
A varied role with plenty of room for your own initiative
Room to shape processes to your liking and truly take ownership
A purpose you believe in: contributing to a more sustainable world every day
Driven, young, and international team of 45 colleagues
Flat organization with short lines and fast decision-making
Plenty of freedom, responsibility, and room for initiative
Informal atmosphere with regular team outings and drinks
A part-time position of 24 hours per week
Salary of EUR 2750,- based on 40 hours (full-time)
Nice office in Amsterdam South-East
25 vacation days (based on full-time employment)
Pension scheme and collective health insurance
Contribution to sports membership
Travel allowance, Swapfiets, or NS Business Card
